JOB DESCRIPTION
JOB TITLE: Administrative Assistant – Temporary
DEPARTMENT: Varies by Assignment
DUTIES AND RESPONSIBILITIES:
  • Arrange conferences, and/or meetings for office staff.
  • Set up and maintain paper and electronic filing systems for records, correspondence and other material.
  • Complete forms in accordance with company procedure.
  • Compose, type, and distribute meeting notes, routine correspondence and reports.
  • Greet visitors and callers, handle their inquiries, take messages and direct them to the appropriate persons according to their needs.
  • Maintain scheduling and events calendars.
  • Open, read, route and distribute incoming mail and other material and prepare answers to routine letters.
  • Schedule and confirm appointments for clients, customers or supervisors.
  • Order and dispense supplies.
  • Prepare and mail checks as per department procedure.
  • Review work done by others to check for correct spelling and grammar, ensure that company format policies are followed and recommend revisions.
  • Operate office equipment such as fax machines, copiers and phone systems, and use computers for spreadsheet, word processing, database management and other applications.
  • Assist Program Director in administration as needed.
  • Other duties as assigned.
REQUIREMENTS:
  • Require two (2) year’s work experience.
  • Require High School diploma/G.E.D.
  • Prefer Associate’s Degree in Liberal Arts.
  • Prefer prior administrative experience.
  • Prefer driver’s license.
  • May be subject to a background check.
  • Strong communication skills, verbal and written.
  • Must be able to type 35 w.p.m.
  • Must be knowledgeable and proficient in P.C. word processing, spreadsheet, internet and e-mail.
  • Demonstrated knowledge and experience in teambuilding and teamwork.
  • Strong customer service skills.
SUPERVISION: Supervised by the assigned department’s Director

SALARY LEVEL: Hourly Salary: $16.00/hour
